Our lead generation grew faster than the way we ran it. Leads came out of Meta and went into a spreadsheet by hand. Reports were built one client at a time. Updates went out as individual emails. That holds together at a small scale and then it stops, because every new client adds the same block of manual work, and a lead sitting unnoticed in a spreadsheet is a lead somebody else has already called. So we built the thing we needed.
Leads
Copied out of Meta into a spreadsheet by hand.
Captured the moment they land and filed to the right client. 4,112 so far.
Follow-up
No reliable record of who had been contacted, or when.
Status, contact history and notes held against every single lead.
Reporting
Built by hand, one client at a time, on a cycle.
A live dashboard each client signs into whenever they want it.
Updates
Sent one email at a time.
Clients pull what they need themselves, without asking us first.
Growth
Every new client added the same block of manual work.
24 client accounts running on one platform, under one admin.
Every lead a campaign produces is collected automatically and filed against the client who earned it. Nothing is typed in by hand, and nothing sits unnoticed in a tab no one opened.
Each lead arrives already attached to the campaign, audience and spend that produced it. The number in the report and the name on the list are the same record, so the reporting reconciles by construction.
Every client has their own dashboard: their leads, their campaign performance, their spend, updated as the data lands. They see exactly what we see about their account, and nothing about anyone else's.
Finished reports are published to the client's own library to read and download. The reporting email, written out by hand once a month, no longer exists.
